Self-Deposit your Publication to QSpace

Start a deposit

Go to QSpace and click on “Log in with Queen’s Account.” In top left, click on the plus sign, i.e. “ +”  to submit “New Item.” 

Select your department’s collection from the list

At the top of the list which appears on the page, type keywords to find your faculty collection. For example, for the Department of Biology Faculty Publications collection, type "Biology" and "Faculty." Click on the collection name in the list, and the deposit form will appear.  

Submission instructions

Supply information to describe your publication in the provided fields. Include all contributor names, and the publication’s DOI if applicable.

Include an abstract or short description of the publication.

Provide Tri-agency funding information as requested. Note: If you have multiple funders you must enter them one at a time, i.e. for each grant complete all 5 fields pertaining to that grant on the form BEFORE proceeding with the next grant. This will ensure that your grant information is grouped correctly.

Upload your publication file

Prior to uploading your publication file you must:

  • Ensure you have the right to make your publication open access. We recommend Jisc open policy finder. It provides an overview of publishers’ copyright and open access policies. QSpace will only make the full text of your work available as per the terms of that policy, including implementing any required embargo on online access.
  • Format file as an accessible PDF.

Publications submitted to QSpace are Open Access meaning that they are accessible to anyone with web access. If you a have a requirement to temporarily restrict access to your publication, please let us know by emailing us at qspace@queensu.ca.

CC License

Depending on publishers' requirements, you may have the option to select a Creative Commons License. If you have questions, please contact us at qspace@queensu.ca.

To complete the submission you must agree to the QSpace Non-Exclusive Deposit License Agreement at the end of the submission form. You can read the full Terms of the license and additional information about it on page 4 of this guide: QSpace Non-Exclusive Deposit License Agreement

Deposit

When your form is complete, click on the "+Deposit" button at bottom right. Your submission is now pending approval to QSpace. Once approved, you can track its impact by searching for your work in QSpace and selecting 'View Statistics'.

Request that the library deposit your publication

Contact us at open.scholarship.services@queensu.ca.

In the email include the following:

  • An appropriate version of the publication. This is usually the “Accepted Manuscript” (post-print). To learn more see Making your Publications Open Access and Scholarly Publishing: Glossary of Useful Terms.
  • An accessible PDF. Use the Accessible Documents guide from the University’s Accessibility Hub to learn how to create accessible PDFs.
  • Include a doi, citation or title for the publication. Or if the work has not yet been published, include a short note about it's status (e.g. submitted, accepted), and the name of the publisher (if applicable).
  • A short statement confirming that you have read and agree to the QSpace Non-Exclusive Distribution License.
  • Information about funding that supported the publication.
